Marine Parts RFQ & Service Ordering Workflow

Marine propulsion hardware cannot be ordered through generic one-click shopping carts. Shaft tapers, impeller splines, heat-exchanger core dimensions, and gasket thicknesses require technical verification. At CV MUTIARA, we operate on a streamlined Request for Quotation (RFQ) model via email, ensuring 100% mechanical compatibility before parts dispatch or technician deployment.

1 Step 1: Collect Engine Data & Part Specifications

Before emailing your inquiry, gather baseline technical identifiers from your vessel’s engine bay to ensure our engineers pull the exact OEM or heavy-duty replacement component:

Engine & Vessel Identifiers

Engine manufacturer (e.g., Yamaha, Mercury, Cummins, Yanmar, Volvo Penta, Caterpillar), model code, serial number, and whether it is an inboard or outboard configuration.

Component Visuals & Part Numbers

Existing OEM part number stamped on the component, casting markings, or clear photographs of the worn part, shaft spline count, or nameplate tag.

2 Step 2: Submit Your RFQ to Our Technical Desk

Send your parts replacement inquiry directly to our dedicated engineering email at info@marineparts.website or contact our technical hotline via WhatsApp/Call at 823-8162-9211.

Copy & Paste RFQ Email Format

Use this structured format in your email to fast-track fitment verification and quote generation:

To: info@marineparts.website Subject: RFQ – Marine Parts Replacement – [Vessel Name / Company] 1. Vessel Name / Type: (e.g., 38ft Speedboat, Commercial Tug, Patrol Craft) 2. Berth / Marina Location: (e.g., Pantai Mutiara Jakarta, Pelabuhan Ratu, Batam) 3. Engine Brand & Model: (e.g., Yanmar 6LY2-STE / Yamaha 250HP Outboard) 4. Engine Serial Number: 5. Parts Required & Quantity: (e.g., Raw water pump impeller x2, Heat exchanger gasket kit x1) 6. OEM Part Number (if known): 7. Service Required: [ ] Spare Parts Only [ ] On-Site Dockside Installation 8. Urgency Level: [ ] Emergency AOG/Down [ ] Routine Maintenance Schedule

Rapid Response Commitment: Our parts specialists review RFQ submissions and respond with verified pricing, OEM availability, and lead times within 2 to 4 business hours during regular operating shifts.

3 Step 3: Technical Fitment Audit & Formal Quotation

Our senior marine mechanics audit your submission against factory workshop manuals. We cross-reference superseded part numbers, inspect cooling gallery compatibility, and generate a formal Commercial Quotation / Pro-Forma Invoice containing:

• Itemized genuine OEM or certified aftermarket options with pricing.
• Stock availability (in-stock at our Ciawi workshop vs. factory order lead times).
• Freight logistics options (express courier, heavy cargo, or dockside technician van).
• Payment milestone instructions and estimated delivery schedules.

4 Step 4: Purchase Order Approval & Bank Settlement

Once you review and approve the technical quotation, confirm your order by returning a signed copy or issuing a formal corporate Purchase Order (PO):

Bank Wire Settlement

Payments are remitted via direct bank transfer to our verified corporate bank account. Pro-forma invoice numbers must be referenced in your transfer description for automated ledger reconciliation.

Overhaul Deposit Protocol

For combined parts and on-site dockside labor contracts, a standard 50% commitment deposit is required prior to technician dispatch, with the remaining balance due upon work signoff.

5 Step 5: Quality Inspection & Anti-Corrosion Packaging

Before leaving our central facility in Ciawi, every mechanical part and rebuild sub-assembly passes strict quality control:

• Inspection: Gasket surfaces are inspected for flatness, impellers are checked for elastomer flexibility, and bearing tolerances are checked against spec sheets.
• Corrosion Protection: Metallic parts are coated with light marine protective fluid and sealed inside Vapor Corrosion Inhibitor (VCI) packaging to prevent salt-air oxidation during transit.
• Heavy Crating: Propeller shafts, cylinder heads, and marine gearboxes are secured onto reinforced timber skids with foam shock-dampening.

6 Step 6: Dispatch, Tracking, or Mobile Dockside Fitting

Depending on the service channel selected during your RFQ approval, your replacement parts are finalized through one of three pathways:

Express Freight Delivery

Dispatched via trusted cargo carriers (Indah Logistik, J&T Cargo, Dakota, JNE). Tracking waybills are emailed immediately for real-time monitoring across Indonesian ports.

Mobile Dockside Installation

Our mobile technical team travels with diagnostic equipment directly to your marina berth in West Java, Jakarta, or Banten to execute certified installation, sea-strainer flushing, and sea trials.
